How film productions should automate WhatsApp

Call times move at midnight. Group chats become noise. Production assistants forward the same message twenty times. Vermoss Flow gives each crew member their own thread with your production number. They register role and department once. When the call moves to 04:30, your team sends the update on each person thread and the flow asks them to tap yes or no. Unread threads show who still has not confirmed.

Each crew member confirms call times on their own thread. Your office sees who has not replied.

By business size

How this works at your scale

  • Solo or owner led

Small crew on a short shoot. One production number. Each person confirms on their thread instead of a messy group chat.

  • Small team

Production office plus department heads. Customer details show role and department so the right PA picks the right threads to update.

  • Multi site or larger

Large unit with hundreds of crew. Same pattern scales because every person has one thread, one confirmation flow, and one shared inbox for the office.

What goes wrong

Problems film productions face on WhatsApp

  • Call time changes lost in group chats
  • Same update forwarded manually to dozens of people
  • No list of who confirmed attendance
  • Standby crew miss promotion messages
  • Call sheets sent as random attachments
  • Departments mixed together in one chat
What they run

Automation on Vermoss Flow

Inbound flow registers each crew member and saves role and department in customer details. When times change, your team sends the new call time on that person thread, attaches the call sheet from your file library, and the flow collects yes or no. Scheduled reminders can go out the night before. Anyone who does not reply stays visible as an open thread in the inbox.

  • Crew registration flow: name, role, department, standby or active
  • Yes or no confirmation after each schedule update
  • Call sheet PDF attached from your Vermoss file library
  • Scheduled reminder the evening before shoot day
  • Your team takes over in the inbox when someone asks a question
  • Separate menu path for vendors vs crew if needed
Customer journey

Crew registration and call time confirm

Crew register once. Schedule updates go on their thread with a yes or no ask.

  1. Crew member texts the production WhatsApp number.
  2. Flow asks role, department, and day or night unit.
  3. Details saved on their customer profile in Vermoss.
  4. PA sends: "Call moved to 04:30, Location B" on that thread with call sheet attached.
  5. Flow asks "Can you make it?" with yes or no buttons. PA sees who has not answered in the inbox.
Make it yours

How to tune it

Keep one thread per person. Do not rely on group chats for confirmations.

  1. Add standby yes or no question on registration.

  2. Schedule a reminder template for the night before call.

  3. Train PAs to update threads in batches from the shared inbox.

  4. Attach parking map PDF on every call time message.

  5. Use customer details notes for wardrobe or kit reminders.
